Refund & Cancellation Policy

1. Project Cancellation
Clients may request to cancel a project at any time by providing written notice to KGP INOVATION. Cancellation fees will be determined based on the project stage and work completion at the time of cancellation:
- Before Work Begins: Full refund of advance payments
- During Initial Phase (0-25% completion): 25% of project cost retained as cancellation fee
- During Development Phase (25-75% completion): 50% of project cost retained
- During Final Phase (75%+ completion): 75% of project cost retained
- Post-Delivery: No refund applicable
2. Refund Policy
Refunds for cancelled projects will be processed within 15-30 business days of the cancellation request. The refund amount will be transferred to the original payment method used at the time of the initial transaction. KGP INOVATION is not responsible for any delays or charges imposed by financial institutions.
3. Scope Changes & Additional Costs
If a client requests changes to the project scope after work has begun, additional costs may apply. We will provide a revised quote for scope modifications. If the client declines to proceed with the changes and wishes to cancel, the standard cancellation policy applies.
4. Deposit & Advance Payments
For most projects, a non-refundable deposit of 25-50% is required to initiate work. This deposit is applied toward the final invoice. If a project is cancelled after the deposit is paid, the deposit may be partially refunded based on the work completed, as per the project cancellation schedule outlined in Section 1.
5. Maintenance & Support Cancellation
For ongoing maintenance and support contracts, either party may cancel with 30 days' written notice. The client is responsible for payment until the end of the notice period. No refunds will be issued for partial months unless otherwise negotiated in the service agreement.
6. SaaS & Subscription Services
For SaaS products and subscription-based services, cancellation takes effect at the end of the current billing cycle. No refunds will be issued for unused portions of a billing period. However, customers may request a refund within 7 days of the initial purchase if dissatisfied with the service.
7. Force Majeure
In the event of unforeseen circumstances beyond either party's control (natural disasters, pandemics, government actions), both parties retain the option to suspend or cancel the engagement. Any payments made toward work not completed will be refunded in full within 30 days.
8. Intellectual Property Upon Cancellation
Upon project cancellation, KGP INOVATION retains ownership of all intellectual property, code, designs, and documentation. The client will receive deliverables completed and fully paid for. Work in progress will not be transferred unless full payment for that phase is made.
9. Cancellation Procedure
To cancel a project, clients must submit a written cancellation request via email to admin@kgpinovation.in with the following information:
- Project name and ID
- Reason for cancellation
- Preferred refund method
Cancellation will be effective upon written acknowledgment by KGP INOVATION. All work will cease immediately upon confirmation.
